An inbox cannot be steered. Between two appointment requests sits a tax assessment or a statement of claim. A tool for firms has to handle that instead of pretending it does not happen.
Tools never built for professional secrecy
Most providers pass messages through an interface to an outside AI model and cover confidentiality by contract. Since the 2017 reform of § 203 StGB that chain is a liability question for firms, not a detail.

Hetzner Cloud in Nuremberg, tenant separation via Row Level Security at database level. Our staff have no free access to ticket content: support access is technically limited, requires a reason, and is logged.

Mail, web form, Matrix and Threema are active. WhatsApp and Instagram are deliberately not offered to firms: the consumer app syncs the phone's address book, and chamber guidance advises against it with clients.

No. The model runs on hardware Trusq operates itself, not at a third AI provider. That is an architectural arrangement, not a contractual promise about somebody else's servers.

Hetzner in Nuremberg. No group from the USA, so no CLOUD Act exposure in the data path.
May we as a firm use a system like this at all?
Yes. § 62a StBerG and § 43e BRAO expressly provide for bringing in service providers. The conditions are a written contract, careful selection of the provider, and binding it to confidentiality. We prepare those documents and put them in front of you before any contract. That does not replace the professional assessment for your own case.
